PPP HOMEOWNER’S COMMITTEE QUESTIONS??
First I would like to apologize for how long it has taken to reply to these questions. There is no excuse for it an I will work toward replying in a more timely fashion in the future. I am sorry for the delay and I hope that I have answered all of your questions. I would like to challenge all homeowners to look at ways of improving our community. I would like to know how you can take on a role that will compliment and work with the Council to make this a community we can all be proud of. I welcome all questions from the homeowners and will answer them all, however we as the Council would like the homeowners to participate in the community more. We would like to see a neighborhood watch, Community activities. We would also like to see this community trying to come together for the common good of all who live here and not just participate in divisive arguments and derogatory statements.
1.Indication at meeting was that a contract is still valid for landscaping/lawn maintenance from Brinkman? When does that contract expire and what are the rates for each service?? Why would budget go from $5076.00 to $6000.00??
A budget is an estimation of what it may cost for the year. Even with a contract there may be unforeseen expenses that are not covered in the contract. Therefore we budget for more than the contract costs. The contract runs to the end of 2009.
2. What firm does “Herb Bolles” work for?? What clubhouse building repairs were done? Would like to see receipts for faucets repair, outside showers, sinks and supply valves for 1,695.00. Would also like to see receipt for M&D Plumbing for repaired water main for $1200.00.
Herb Bolles is an independent contractor who was hired by us. We appreciate your desire to see individual invoices/receipts, however we do not have time to provide this information to each homeowner. This is why we provide the accounting statements at the meetings. If you wish to delve further into the accounts I would recommend that you have the books audited at your expense.
3. Charles Huth A/C Reapir. It’s a window air conditioner in the clubhouse building, why $985.00 for repair???
This is a dual purpose appliance. It is both an air conditioner and a heater. It is different than the old model that was replaced and therefore construction was needed it’s installation.
4. What repairs by M&D Plumbing for men and women bathrooms in pool house for $165.00??
These were necessary repairs. We appreciate your desire to see individual invoices/receipts, however we do not have time to provide this information to each homeowner. This is why we provide the accounting statements at the meetings.
5.How many homes are condo fees being collected??

6.What companies have you received proposals from for this years pool maintenance??
We have received multiple proposals for the pool this year and they are all being considered on their merits. The managing Council are working to receive the most for the homeowners money.
7.Why is Fred Tolbert a signer on the Homeowners Committee checking account??
You need to talk to him about that.
8.Who signs PPP Council checks??
Fred Tolbert, Linda at Book and Associates, Harry miller. 2 signatures are required for all checks.
9.Can we have proposals for this years liability insurance??
We will look into getting proposals for the insurance.
10.Can the expenses be cut for the office supplies??? $1,000.00 is a lot of money for paper and stamps. Only $307.50 for stamps, where’s the other $700.00 going to??
As the managing body for the community the council is doing its best to be fiscally responsible with the money it is entrusted with. We are working to give a line item listing of the current budget at the meetings. We do not have the time to explain to every homeowner where and how every penny is being spent.
11. Only $150.00 for chlorine, why $6,500.00 for pool maintenance and supplies. Transaction detail for last year only says Invoice #’s but not what for?? What services and supplies were these invoices paid??
The separate chlorine purchase was made from a different vendor on a needed basis when we were not able to receive more from our regular vendor quickly enough. We appreciate your desire to see individual invoices/receipts, however we do not have time to provide this information to each homeowner. This is why we provide the accounting statements at the meetings.
12. Third quarter charge for $102.00 for bank charges??? For what, need a breakdown. High amount, what bank? What are the conditions and terms of the Money Market account for $41,867.87? When opened?
Book and Associates credited these fees back to our account as they were due to their error. We will try to have the account information by the next Quarterly meeting.
13. Council Elections, when were they done and how many people voted?? And what is the term? When will the other 2 seats on council be filled?? How will they be voted for?? Can Fred hold two offices on the same council??
Elections will be held at the next yearly meeting in January 2009. There will be a nomination process and voting will be held at the meeting.
14. How can we obtain a key to the Bulletin Board up by the mailboxes to inform residents of our happenings??
The Bulletin Board is controlled by the Council and Anything that a resident wants posted must be approved before Council will post it.
15.Certain homeowners would like to view the inside of the clubhouse. How can this be accomplished??
Contact the Council President or other council member to request a tour appointment.
16.What happens to the 2008 budget?? It was not voted on or approved??
The community meetings are informational. The Council is the managing board for the development and as such approves (and has approved) the budget.
17.How do the residents go about cutting utility and telephone costs?? There are other options we could do to cut the high expense of the 600 years phone bill
The costs associated with running the development are reviewed and approved by the Council Board. Any suggestions to the Council are greatly appreciated and will be reviewed with the community in mind.
18.As stated the Homeowners Committee would like to meet with you as the Council president. Please contact us and we can set something up. We would like to meet with you at the clubhouse and continue to have our future HOC meeting in the clubhouse. Any problem with that??
As I stated in the past, the clubhouse is too small to have any meeting larger than 4-5 people at. I am willing to meet with any concerned residents and if there is a meeting of the residents my wife and I are more than willing to attend if invited.
